Job Overview:

We are seeking a highly organized and detail-oriented individual to join our team as a Governance Projects Coordinator. The primary responsibility of this role is to provide essential administrative support for key governance initiatives in 2024. The successful candidate will play a crucial role in facilitating the review and amendment of our constitution, updating our Membership Development Process, and ensuring the smooth logistics of our 2024 Annual General Meeting (AGM).

Key Responsibilities:

Constitutional Review and Amendment:

Coordinate and assist in the review and amendment process of the ActionAid’s constitution. Collaborate with relevant stakeholders to gather input, track changes, and submit proposed amendments.

Membership Development Process:

Work closely with the Governance Lead on the review of the Membership Development Process to identify areas for improvement. 

• Logistical Support for 2024 AGM:

Take the lead in organizing and coordinating the logistics for the 2024 Annual General Meeting. Liaise with various departments to ensure all necessary materials, documents, and resources are prepared and available for the AGM. Provide on-site support during the AGM, ensuring a seamless and efficient event.

Qualifications and Skills:

• Bachelor’s degree in business administration, Public Administration, or a related field.
• Proven experience in administrative roles with a focus on governance support.
• Strong organizational skills with the ability to manage multiple tasks concurrently.
• Excellent communication and interpersonal skills.
• Detail-oriented, with a high level of accuracy in record-keeping.

The role will be integrated into countries offering Finance Shared Services support to 2 or more countries in the federation (Centres of Support).

The Finance Manager, maybe deployed to Country Program Offices, in various countries on a temporary basis. The position therefore requires flexibility in terms of physical movement from country to country for short duration of assignments.

Annual workplans for this role will be signed off by the Shared Services Lead role, to align to Service level agreements between Centres of Support and countries receiving services.

Financial Control

• Support country teams to maintain an effective & efficient system of internal controls which comply with ActionAid Financial Management Framework and Local Financial Policy and Procedure Manual guidelines.
• Ensure that all financial records & accounts are compiled timely, accurately and in line with international accounting standards & donor regulations.
• Support in ensuring that the country financial operations comply with legal & statutory requirements e.g. audit & financial reporting to all relevant national authorities.
• Support the country management to prepare the annual & revised Country budget and donor budgets, as accurately as possible.

Finance Reporting

• Support in preparation of monthly management accounts for budget-holders and Country Management to ensure that they can take appropriate action on any significant variances.
• Ensure timely & accurate preparation of quarterly financial reports for Federation (Financial Reporting Pack (FRP))
• Support to ensure timely & accurate preparation of donor reports for external donors / agencies.
• Reconcile all balance sheet items on a monthly basis, in accordance with ActionAid Financial Management Framework and Local Finance Policy and Procedure Policies
• Finalize accounts for external auditor and act as main ActionAid Country Office focal point during external audit process looking to ensure that the approved financial statements are delivered before the internal deadline.
• Act as focal point for any in-country donor audits when needed or provide the in- country teams.
• Provide any ad-hoc year reports as might be required by the ActionAid Federation Finance Reporting Team.

Financial Systems

• Ensure that country financial management systems & records are adequate in order to identify and protect the assets & interest of the organization.
• Ensure that the systems in place, enhance, as far as possible, the efficiency & effectiveness of the manner in which assets are utilized.
• Ensure that the Global Finance System (as recommended by ActionAid Federation), is maintained in a proper manner, and utilized in an appropriate & effective manner.
• Establish & maintain a donor financial management system in order to optimize funding & to ensure efficient & accurate reporting to donors.
• Establish & maintain a mechanism for monitoring those grants given to partners, and ensure proper financial reporting & records of same, in line with donor guidelines, where necessary.
• Ensure adequate controls over cash & bank management are constantly monitored & updated to minimize the risk of fraud or misappropriation.
• Undertake regular field visits in order to assess the financial systems in place & implement improvements wherever needed.

Education

• Have a Bachelor of Accounting or a professional certification in accounting or its equivalent from a recognized University;
• ACCA/CPA accredited, or equivalent professional degree.

Experience

• Have at least seven (7) years working experience in finance/accounting function in an INGO or a large organization of which at least three (3) years must have been at management position;
• Experience working in multiple countries is an added advantage
• Have demonstrated high understanding of finance and accounting matters.
• Have experience in development and implementation of financial systems; and
• Have practical experience in donor reporting, international accounting standards and statutory reporting.
• Candidates should be self-motivated & have experience of planning & delegating work within a team environment.

The Role

The Women’s Rights Programme and Policy Adviser connects the women’s rights and feminist alternatives work across the ActionAid International federation, covering up to 45 countries. As part of a Global Women’s Rights Team, they work closely with our internal women’s rights community and other colleagues across Africa, Asia, Europe and the Americas, supporting strategic fundraising, communication and knowledge building and ensuring that our thematic work reflects our system change approach towards a feminist, just transition.

Role Overview:

The International Development Policy and Practice (IDPP) team is a key delivery partner in ActionAid UK’s strategy to promote a world where women, girls, and those facing marginalisation are valued, live free from violence, and can exercise their rights to promote their own economic Justice, safety, equality and voice. The team is comprised of members supporting global influencing policy and advocacy initiatives, mobilisation and organising financial resource mobilisation, grant/ contract management, programmatic innovation, research and learning towards this end. The Research and Programmes Policy unit within the IDPP team is comprised of policy and technical advisers who advance policy perspectives and programme-led learning to ActionAid UK’s target donors, influencers, policymakers and civil society audiences. A key purpose of the role is the provision of high-quality research and policy development rooted in AA programme and policy work, applying an intersectional, decolonial feminist approach, and to make this research easily accessible and available for grassroots advocacy and influencing. The current focus of this role is women's economic rights and justice, particularly in relation to macroeconomic policies (e.g., the impacts of trade, austerity and debt on women's unpaid care work and access to decent work) and directly supports AAUKs Young Urban Women (YUW) flagship project although this could change in future. The role demands a specialist who will bring research and policy analysis skills, the ability to collaborate effectively with colleagues and partners from the global South, and the ability to tailor high quality written outputs to a range of audiences to ActionAid UK, and passion for achieving women’s economic justice, mobilisation and activism. Who we're looking for:

The Role:

• This is an exciting opportunity for an Innovation and New Partnerships Lead who wants to help expand AA’s growing institutional funding partnership portfolio, joining an organisation that works to help people harness their own power to achieve a feminist, just, green transition in the 45 countries where ActionAid works.
• You will develop and lead institutional, foundations and corporate funding planning for ActionAid International’s (AAI’s) 2022-25 thematic priorities (climate justice and economic justice), including an overall global restricted funding programme strategy and plan. You will also lead on restricted funding innovation, exploring new or untested restricted funding approaches, playing a change management role in helping the organisation adapt to these new approaches.

Who we're looking for: 

• You should hold a master’s degree in Social Sciences, Humanities, Development Studies, Human Rights, Political / Social Science or other relevant discipline or have equivalent experience. You should have experience of restricted INGO funding intelligence analysis, identifying trends and using this information to make recommendations for approaches; experience in developing programme funding strategies and plans. Substantial experience in the development and humanitarian business development, proposal development, developing strategic fundraising innovation ideas with an entrepreneurial spirit and working with a wide range of restricted and designated funding donors. You should have experience of working in an INGO programmes teams or alongside them to ensure programme-led funding and experience of building skills and capabilities of other staff.
• In addition to this, knowledge of global aid and institutional, trusts & foundations and corporate funding sectors as well as a good understanding of and keen interest in recent innovations in NGO programmes, advocacy, campaigning, and movement- building. Summary of position

• Action All modelling was undertaken with the ambition of providing stakeholders with vital capabilities to foresee significant changes in the nutritional status of a population several months ahead of a crisis, as well as offering insights into important drivers and context-specific dynamics. In Kenya, MERIAM was nested in existing early warning systems that already existed. The information used to test the models was gathered from the aggregated information available to the public but also from fine-grain information gathered after authorization was sought from relevant government entities. Following a successful initial test, Action Against Hunger seeks to pilot test MERIAM alongside existing food security and malnutrition early warning mechanisms and compare with the analysis outputs of MERIAM model. In Kenya, Action Against Hunger will team up with National Drought Management Authority during the pilot phase project.
•  The Data Analyst: The role of has the following purpose, engagement and delivery:-
•  Purpose: The promotion of capabilities of effective anticipatory action by generating model-based forecasts of acute malnutrition in children under five years of age, which are incorporated into existing Early Warning Systems.

Engagement:  

• Representing Action Against Hunger in various Country level and county level external meetings on MERIAM model capacity building, pilot research updates and dissemination of findings 
• Liaise and collaborate with the Data Science Community, Food Security community for peer learning while providing support to the NDMA for its data centric needs.
• Work in collaboration with relevant county government in conducting joint surveys, surveillance, evaluation and monitoring
• MEAL HoD/Program Director for hierarchical relationship and project management  

Delivery:

• To gather of data for use in the MERIAM models, ensuring that chosen datasets fit with the information required in the model.
• Performs data pre-processing including data manipulation, transformation, normalization, standardization, visualization and derivation of new variables/features as needed to operationalize the MERIAM model.
• Utilizes advanced data analytics and mining techniques to analyses data, assessing data validity and usability; reviews data results to ensure accuracy while comparing outputs from the NDMA analysis model against the MERIAM model; and communicates comparable results and insights to stakeholders in the stakeholders’ forum.
• Provide suggestions/proposals to the existing MERIAM model design based on mathematical, statistical, in order to increase critical model relevance of the MERIAM outputs to the country context.

Essential job functions

Survey and Surveillance Activities

• Participate in standardization of implementation of the integrated nutritional surveys and other survey activities in collaboration of the local authorities and relevant govern procedures/protocols adherence to Government of Kenya procedures / protocols / guidelines designed methodology, reporting process, etc.
• Support in Strengthening the capacity of staff, NDMA and Ministry of Health, and other partners in MERIAM model methodology 

Project Monitoring

• Develop an implementation framework and procedures for MERIAM pilot.
• Define and implement the key project performance indicators (KPI) as well as monitor them throughout the duration of the research.
• Provide MERIAM pilot updates through comparative reports to NDMA, ACF and relevant stakeholders on research progress and including suggesting strategies to improve the efficiency and effectiveness of the MERIAM Model.
• Assist in review of MERIAM pilot work plans and targets accordingly throughout project implementation.
• Contribute towards the operationalization of MERIAM pilot study.

Data Management

• Management of data reporting cycle by generating internal data reporting calendar, data collection process, data analysis and data sharing/dissemination. 
• Assist the project managers in collating quantitative and qualitative reports generated monthly, quarterly, half-yearly and annual on the progress of the project activities. 
•  Maintain MERIAM model database and ensures all related output data, reports, and records are clearly organized archived in a central location for future reference.
•  Ensure the quality of data (timeliness, integral, reliable, valid and complete)
•  Shared/disseminated and that it is verifiable.
• Aggregation, collation, analysis and comparative assessment of outputs from NDMA’s seasonal assessment versus MERIAM model.

Supervisory Responsibilities

• Coordinate delivery of Pilot MERIAM objectives.
• Initiate training packages MERIAM Model utilization to be used by NDMA data analysts, other stakeholders who routinely participate in the pilot activities.

Fiscal Responsibility

• Track MERIAM pilot activities monthly budget requests.
• Participate in development of analysis, stakeholder meeting budget plans.
• Ensure that MERIAM pilot is on scope and on time during the implementation.

Physical Demands

• While performing the duties of this job, the employee is required to sit for long periods and to concentrate on work, including typing, and turn out heavy volumes of work accurately, within short time frames under stressful situations in the context of a moderately noisy office with many interruptions. Must be able to proofread own work accurately so that only minor corrections are needed on an infrequent basis.

Working Conditions, Travel and Environment

• The duties of the job require regular job attendance at least five days per week.  Must be available to work outside normal office hours or on the weekends as required.
• Must be able to travel as required for standard domestic and international business travel as well as to the country offices if appropriate. Based on the country office needs, the time spent on field trips will be a minimum of a 70% of his/her working time. While visiting the field, the employee may be exposed to precarious settings under high security risks and/or very basic living conditions and outside weather conditions, as well is to infectious diseases.
• The employee will be based at the NDMA Office with a once-a-week work from ACF Capital Office.

Requirements

• MA in nutrition, epidemiology, public health, data science or related discipline.
• Exposure to governance and regulatory matters as it relates to data such as the Kenya Data Protection Law.
• Knowledge/Experience in building models (credit scoring, propensity models, churn, etc.).
• Understanding of Food security, nutrition data processes, systems, and products.
• Proficient with “R” statistical analysis software - essential

 Required Skills & Competencies

• Demonstrated analytical skills both qualitative and quantitative approaches (data analysis, documentation, interpretation and reporting).
• Excellent interpersonal and communication skills.
• Experience developing and deploying feedback mechanism for multi-sector program working through county and national systems.
• Proven skills in statistical analysis using Excel and Epi-Info / ENA, as well as at least one other software platform such as SPSS, STATA, or PSPP.

Preferred but not mandatory;

• Candidate should have learning experience in;
• Working with unstructured data (e.g. Streams, images)
• Understanding of data flows, data architecture, ETL and processing of structured and unstructured data.
• Using data mining to discover new patterns from large datasets.
• Implement standard and proprietary algorithms for handling and processing data.

• Experience with data visualisation tools, such as Power BI, Tableau, etc.
• Proficiency in application and web development. Structured and Unstructured Query languages e.g. SQL, Qlikview; SSIS SSRS, Python, JSON , C#, Java, C++, HTML.
• Knowledgeable in Long Rains and Short Rains Analysis or IPC analysis.

The Role:

• ActionAid International is launching an ambitious climate justice campaign ‘Fund Our Future’ with a flagship report being published in September 2023 documenting the shocking scale of finance flowing from commercial banks to fossil fuel extraction and industrial agriculture in the Global South.
• The Policy Adviser will work closely with the Global Lead on Climate Justice and the Campaign Steering Group to ensure that there is rigorous and sound policy analysis underpinning the global campaign, supporting the global campaign launch and follow-up research and documentation to this flagship report, including advising on corporate challenges that arise and developing supplementary analysis/resources. The role will also support countries keen to engage in this campaign at the national level, offering policy analysis and advice about money flows, targeting and effective approaches to corporate advocacy/engagement.
