YOUR RESPONSIBILITIES

Planning

• Provide expertise in monitoring and evaluation planning and methodology
• Provide leadership to our work in building evidence for Justice Defenders’ legal education, training and practice within Kenya and contexts.
• Provide oversight of all aspects of our legal education, training and practice indicators.
• Set Justice Defenders’ road map for evidence-based decision making.
• Implement a data-driven approach, creating a core analytical capability, and building a culture of high commitment to excellence across Justice Defenders.

Day-to-Day Monitoring and Evaluation Activities

• Design and Implement monitoring systems and tools
• Developing data collection tools
• Monitor country office activities, outputs and progress towards anticipated results
• Work with data platforms, databases and select technologies to capture and organize data
• Train staff in monitoring and evaluation processes and provide ongoing coaching
• Conduct and/or provide support towards data quality assessments

Analysis and Reporting

• Determining data analysis procedures and use of quantitative or qualitative analysis tools
• Cleaning, sorting, categorizing and organizing data

JOB CONTEXT

The Justice Defenders Kenya office is  looking for an organized and efficient HR Officer to join our team. The HR Officer will be responsible for providing support to the HR and Admin team in performing various HR functions which includes recruitment, induction, performance management, personnel data management, staff training and development, organization and upkeep staff records as well providing general HRM support.

YOUR RESPONSIBILITIES

• Support recruitment processes, including developing and posting vacancy announcements, tracking and reporting on recruitment processes, screening and short-listing applications, interviewing and conducting back ground screening and reference checks for final job candidates.
• Prepare offer letters and employee contracts for new employees, and track contract expiry dates for renewal. Ensure any changes in an employee’s status are adequately documented.
• Track probationary periods and ensure confirmations, extensions, or terminations within agreed timescales.
• Support the orientation and on-boarding of new employees, including preparing an orientation schedule and welcome package, orienting staff regarding employment conditions, registering staff for benefits schemes, and ensuring new staff have appropriate work space and resources.
• Assist the HR &Admin Manager in periodic review and update of Human Resources policies and procedures in line with changes in the regulatory and labour environment.
• Assist in facilitation of staff training and development programmes. This includes training needs analysis, evaluation of training, feedback to management, and coordination of special programmes.
• Administer the organization medical scheme and pension scheme i.e Liaise with medical insurance administrators for new staff medical applications and removals in a timely manner etc.
• Support in the general administration of employee leave management.
• Update data on HRIMS for accurate staff reports on a monthly basis.
• Assist with employee safety, welfare and wellness programs, and support internal communications.
• Support in Monitoring the performance management system and ensure that key dates and deadlines are met.
• Ensure compliance with all internal policies and procedures as well as external regulatory concerns and applicable labour laws.
• Manage Volunteer, trainees and Intern contracts.
• Assist in updating on google drive staff list, visitors and staff visiting prions
• Any other duty that may be assigned by the supervisor.

Qualifications and experience

• Degree in Human Resource Management or Business administration from a recognized institution.
• Member of IHRM Kenya.
• Professional certification in HRM will be an added advantage
• 2-3 years’ proven working experience in all functional human resource management areas and in progressively responsible roles, with sound cross-functional experience.
• Must possess high level of integrity, honesty, maturity, diligence, good attitude and commitment towards work.
• Must be a team player with good interpersonal and communication skills.
• Good understanding and application of statutory and labour laws.

JOB CONTEXT

The Justice Defenders Kenya office is  looking for a Legal officer, under the guidance and supervision of the Area Manager, they will assist in systematizing the legal aid support provided by the paralegals in handling cases within the Legal offices in the prisons. 

YOUR RESPONSIBILITIES

• Offer legal services to Justice Defenders clients in prisons.
• Support and supervise prison-based paralegals in offering legal services
•  Support in continuous training of paralegals
• Manage the legal office and ensure that the operations are effective and efficient,  and that activities are  well managed.
• Engage as assigned in appropriate committees, working groups and other activities to maintain strong and productive external networks.  
• Responsible for ensuring that standards and quality of legal services delivery are maintained and developed. 
• Support the Area Manager in creating training materials and manuals  in order to conduct necessary training and workshops required for the efficient and effective implementation of activities in the Legal Offices.  
• Lead on the filing, follow up and recording of cases, to ensure timely outcomes.
• Support the research on relevant cases and other supporting authorities/material required within the Legal office. 
• Support in the carrying out of research to understand the current situation including; the prevailing challenges in accessing justice in the project sites; recommend changes and improvements, work with key influencers in the prison service and in the community to inform the design of relevant interventions to address identified gaps.

This position assists the executive team in developing strong funding proposals, manages grant writing projects, monitors progress, develops reports, and stewards relationships with grant funders. Job Summary

Reporting to the HR and Administration Manager, the Procurement Officer is responsible for providing efficient and effective procurement management support as per the Justice Defenders procurement policies and procedures. The main responsibilities include facilitation of the acquisition, supply, delivery, storage, and disposal of goods & services, as well as logistics operations at optimum cost-effective levels in a thoroughly documented, process compliant, expeditious and effective manner.

‍Main duties and responsibilities

• Preparation of the organisation’s annual procurement plan.
• Preparation and distribution of quotations to suppliers.
• To offer secretarial services in all ad-hoc procurement committees.
• Preparation and generation of procurement reports as and when required.
• Receiving purchase requisition notes from departments and scrutinize the requisitions before approval to ensure the organisation works within its annual budget and procurement plan.
• Inviting and analyzing quotations for processing of purchase requisitions to be forwarded to relevant offices for approval.
• Maintaining and updating the suppliers register to ensure only prequalified suppliers are invited to the tender process for fairness and transparency to be observed.
• Ensuring proper filing of all purchasing documents and relevant approvals for safekeeping as well as a future reference by the Management.
• Assisting in the disposal of obsolete goods and surpluses through quotations, open tenders, and trade-ins to free up storage in the stores.
• Receiving and informing the respective user departments of the arrival of the goods ordered for them to collect them as immediate as need be.
• Issuing goods to the user departments as per the requisition notes and to account for the goods issued and ensure there are no undue delays.
• Receipting, inspecting, and accepting or rejecting goods and services in liaison with the user departments as per the specifications provided on the Local Purchase Orders when the need arises.
• Following orders placed with suppliers and ensuring that deliveries are made as desired and keeping purchasing accounting documents in use (e.g. LPOs and Purchase Requisition Notes).
• Assisting in management and control of JD Procurement plans to ensure compliance with the Public Procurement and Disposal Act 2015.
• Any other duties as may be allocated by the immediate supervisor.

Qualifications and requirements

For appointment to this role, one must:

• Have a Bachelor’s degree in Purchasing/Procurement and Supply Chain Management from a recognized institution.
• Be an active member of the Kenya Institute of Supplies Management or CIPS.
• Have at least 3 years of progressive experience in procurement and logistics iv. NGO experience is desirable.
• Knowledge of various donor procurement guidelines will be an added advantage.
• Be computer literate
• Have knowledge of the Public Procurement and Assets Disposal Act 2015.
