Roles and responsibilities 

• Provide high quality technical advice, analysis and reporting based on deep experience and knowledge of the Kenyan political and governance systems to inform delivery of UK governance and anti-corruption objectives.
• Support delivery of the BHC Transparency and Accountability campaign, by leading on the anti-corruption objectives, including ensuring that clear policy priorities are identified, developing action plans, and tracking progress.
• Identify strategic, innovative and realistic options for governance programming with Government, key institutions and civil society, including technical approaches, entry points and key facilitators, while thinking and working politically. This requires experience of government systems and good practice in technical and programmatic support for reforms. 
• Design and implement a new cross mission anti-corruption strategy, and enhance coherence between different strands to embed anti-corruption approaches.
• Bringing experience of the design and delivery of governance programmes to support excellence in BHC programming, including robust monitoring, evaluation and learning of BHC programming. This requires experience of managing funding to national and local partner organisations, including experience of a wide range of risk management and compliance functions. 
• Maintaining regular contact with internal and external stakeholders from Government, donors, civil society, academia and the private sector, providing advice to different teams across the mission as appropriate.  Support colleagues, including the High Commissioner, develop contacts and network to progress UK priorities.
• Build strong relationships with HMG colleagues to support delivery of wider UK objectives under the UK Kenya Strategic Partnership – including through political analysis, advice and influencing. Take on leadership for delivery of additional areas of UK policy as needed.
• Take on ad hoc duties as needed, for example arranging Ministerial and other senior inward and outward visits, arranging events such as roundtables.

Main purpose of job:

The Furnishings Assistant will be responsible for the safe delivery, collection and moving of furniture and accessories within the office and the large residential Estate. The individual will support the Furnishings Team Driver when work demands require extra support in the movement of goods around the estate via van and canter. They will be responsible for the cleaning of properties before a new tenant moves in and general upkeep and cleaning of the furnishings stores.

Roles and responsibilities:

• Delivering of furniture and stationary around the British High Commission office, including setting up of meeting rooms as per Kenquiry (internal request system) details.
• Periodic driving of furniture canter and/or minibus with goods to BHC properties around Nairobi; taking care to ensure no damage is caused to the goods in transit.
• Delivering, moving, arranging and cleaning of furniture for official residential properties. Ensuring that care is taken while moving furniture and white goods. At all times recording/bar coding items as and when they leave/return. Including recording delivery/removal notes at all times.
• Deep cleaning and furnishing properties as per Foreign Commonwealth and Development Office guidance taking care of all H&S procedures.
• Preparation, delivery and collection of domestic float for both office and residences.
• Routine maintenance of the furnishings stores and surrounding areas ensuring they are orderly, clean and free from hazards.
• Working as part of a team in preparing properties for occupation.
• Reporting back to the furnishings supervisor any issues or items damaged missing from properties.
• Assisting other teams in the Mission with any heavy lifting, moves on an as need basis

Main purpose of job:

The Job Holder will manage all aspects of the High Commissioner’s (HC’s) diary, working closely with Chief of Staff, the PAs to the Deputy High Commissioners, Visits Officer and Events Coordinator to make the best use of time available for priority issues ensuring all logistical/administrative arrangements are in place.

The Job Holder will arrange meetings and plan through short-notice changes in response to daily and weekly diary management. This position requires attention to detail, ability to prioritize and deconflict diary requests by presenting options to the Chief of staff for discussion. The job holder will be required to spot opportunities which present most effective use of HC’s time. They should also have good organisation skills, enthusiasm and a willingness to be flexible and adapt to changing circumstances. It also requires proactivity, excellent communication and good collaboration skills.

The Job Holder will work closely with a wide range of internal and external stakeholders and build close relations to leverage on a daily basis, while learning the HC’s preferred working styles, prioritising and adapting to the fast-paced nature of the HC’s office.

Roles and responsibilities:

Diary Management (80%)

• Managing the HC’s Diary: screening, accepting and declining invitations and working with the Chief of Staff and others in the HC’s Office and across the Mission to identify priorities and fit in meetings. The job holder will need excellent organisation skills to reschedule and adjust the diary at short notice, therefore they will need to be able to understand which meetings to prioritise and liaise with colleagues to update on programme changes.
• Ensuring that every entry in the diary is clear, with information on who the meeting is with, duration of meeting, agenda and running order, contact information for external meetings and any useful information of the meeting. Ensure weekend events/meetings are well captured with all the relevant detail.
• Work closely with the Events Coordinator and Residence Manager to ensure all events at the residence are agreed with the HC and communicated in advance including the role of the HC at the given event, ensuring speaking points are comissioned and ready for inclusion in the HC’s briefing pack.
• Share HC’s diary forward look with the Leadership team every Friday preceding the coming week including what will be required from given leads (for both internal and external meetings).
• Support the DHC PA manage the Note Verbale inbox, including sending Note Verbales for teams across the mission as requested.
• Manage HC’s paper and electronic correspondences and provide cleared responses as required. This will involve receiving, sorting and prioritising physical mail from post room, and redirecting as appropriate to the responsible teams and maintaining a log to ensure responses are issued in a timely fashion.
• Lead on the management of the key events calendar, liaising closely with the Devolution, Governance and Politics Team to ensure all high level/ diplomatic events are captured and clarity on HC attendance sought.
• Ensure all physical and hybrid  meetings chaired by the HC have a room booked and are connected on the VTC prior to the start of the meeting.
• Working with the Chief of Staff, ensure all action points for the weekly Team Leaders meeting are captured and follow-up done.
• Receiving visitors: Meet and escort HC’s guests into the Mission, liaising with security team as required.
• Leadership Leave Tracker: Commission leave tracker for the Team Leaders working closely with the Crisis team to provide consolidated info on team leave cover (especially during key holiday periods). Map leave periods for Senior Leadership Team on High Commissioner’s diary and flag overlaps and gaps, ensuring there is Senior leadership cover at post at all times.
• Manage HC correspondences from Nairobi Inquiries mailbox by responding to various queries and forwarding other inquiries to the relevant teams and tracking replies to ensure they are issued in a timely manner.
• This role requires flexibility due to the need to work outside of conditioned hours e.g. during in response to short notice diary changes and demands on the HC’s time.  Time off in lieu can be agreed with the line manager.

Travel (10%)

• Organise HC’s regional and international travel supporting the Chief of Staff.
• Book all hotels and travel for the HC, driver and bodyguard and ensure reconciliation is done and approved on time.
• Ensure HC’s drivers and bodyguards are well synched and informed of HC’s external movements within and outside Nairobi.

Line Management: (10%)

Oversight and management of the HC’s drivers which includes:

• Line management of the two HC drivers, including supporting their professional development and training plans. Oversee the work undertaken by the drivers to ensure quality remains high.

Main purpose of job:

• This is an exciting opportunity to work in one of Nairobi’s biggest Foreign Missions, supporting the planning and delivery of events for the High Commissioner (HC), two Deputy High Commissioners’ (DHCs) and other High Commission events. The job holder will be expected to work with the Residence & Events Manager to plan and deliver a wide variety of small, medium and  major events for the High Commission.
• The individual will need to be extremely organised and efficient in planning and executing events in a high pressured environment. S/he should have good communication skills, the ability to work closely with colleagues, have the ability to prioritise work, work flexibly and be able to identify, develop and apply new systems as well as apply BHC policy to ensure value for money and consistency to maximise the efficiency of our events planning and delivery.  They will need creativity to deliver high impact events, and strong attention to detail.  The job holder needs to have good attention to detail to ensure all events are delivered to a consistent standard. They will also need to be able to manage a budget and deliver an event, managing associated costs, within the allocated budget.
• A  core aspect of this role involves working closely with teams to design the format of events, compile relevant guest lists for various events, sending invitations, following up on responses and managing an up-to-date contacts database  as well as maintaining information on attendance at different events. The jobholder will  develop clear guidelines for internal use to advise staff on different options for hosting events, including the different BHC venues available. The job holder will be expected to advise staff on different layouts and formats for events, advise on catering options including securing a range of quotes for different services, develop a list of trusted suppliers, ensuring value of money and quality of service.  The job holder will need to be proactive in identifying opportunities to deliver high quality events to a consistent standard which represent good value for money. For certain large scale events the job holder, in conjunction with teams in the mission,  will be responsible for approaching and liaising with potential sponsors and putting in place the sponsorship arrangements.
• The job holder will be responsible for ensuring the High Commissioner and/or the Deputy High Commissioners have what they need for the events e.g. speeches, running order and working with the communications team for media coverage as appropriate.  The job holder will be expected to make arrangements for receiving guests, checking invitations, and ensuring the smooth running of events. As such occasional evening work is required. They will play a key role in the design and execution of high impact events.  The job holder will also need to develop good working relationships with the security and residence teams. The job holder will lead on sponsorship of High Commissioner and Deputy High Commissioner events when necessary.
• This role will also require working closely with the High Commissioner, his Diary Manager, the Personal and Executive Assistants to the Deputy High Commissioners, Visits Officer and Residence & Events Manager to deliver a timely manner and to a high standard.
• The job holder will have direct contact with a wide range of external guests and as such should have excellent customer service skills including the ability to engage professionally and effectively with the High Commissioner’s and the High Commission’s high-level contacts as well as deal politely and professionally with all guests.  They will also need strong relationships with external suppliers, Residence staff, and the High Commission’s Corporate Services team.

Roles and responsibilities:

Event Coordination (90%)

• Working closely with the Residence & Events Manager on planning all events at the High Commissioner (HC) and Deputy High Commissioners (DHCs) Residences including: venue selection and coordinating all logistics for the event.
• Work with teams to develop the format and objectives of events
• Proactively co-ordinate and develop guestlists , programmes & seating plans for events at the HC/DHC Residences, ensuring adequate timelines for preparation.
• Managing the guestlist and check-in of events at the HC/DHC Residences by coordinating with the Residence Manager, Senior Responsible Officer, Security and supporting team members. Identifying and coordinating BHC staff (when needed) to manage the check-in and welcome of guests at larger receptions.
• Maintain oversight of the events forward look including communicating this to the BHC’s leadership. Working with the Diary Manager and Deputy High Commissioner’s PAs to ensure that events are deconflicted and hosted by the most appropriate person.
• Ensure the HC/DHC have what they need for the event, including running orders and timings for events and speeches. Ensure papers are printed and supplied to the HC/DHC in a timely fashion.
• Brief the Internal Communications team on upcoming events to ensure appropriate media coverage where appropriate.
• Maintain the BHC’s contacts database to ensure all contacts are kept up to date and full, accurate details are held relevant to achieving the UK-Kenya objectives.
• Maintain records of guests invited to different events. This will involve advising the HC/DHCs and section leads on the feasibility of proposed events, providing guidance on preparation of guest lists and programmes and deconflicting guest lists where there are events close together.
• Working with the Chief of Staff and Residence & Events Manager, review past events every quarter and proactively propose events where gaps are identified that align with our priorities in the  Country Business Plan, the BHC’s soft power agenda and Strategic Partnership.
• Develop a list of approved suppliers for all services around BHC hosted events.

Other duties (10%)

• Working closely with the Residence & Events Manager, provide additional support to the Residence based on on-going demands.
• Work with the Residence & Events Manager and DHC PAs to review events guidance ensuring that it is up to date, relevant & clear on the requirement from SRO’s to ensure seamless event delivery.
• Manage Official Club Membership for HC/DHCs including scoping out other entertainment venues (when needed) ensuring value for money. 
• Provide leave cover for the Residence, Events Manager and Visits Officer

FCDO plays an important role in the delivery of His Majesty’s Government’s ambition for the UK to be a global science superpower and innovation nation as set out in the Integrated Review. The FCDO supports this vision by facilitating research collaboration to bolster national prosperity, security, and resilience. It connects UK academia, business, and other government departments to international partners to tackle global challenges and support HMG’s wider geo-political priorities. We work in partnership with the local science, technology and innovation (ST&I) community in support of UK policy overseas, leading to mutual benefits for the UK and the host country.

The global science network in the FCDO’s Research and Evidence Directorate (RED) is a unique component of the UK’s overseas footprint with 152 officers in 67 locations around the world providing ST&I expertise. Our global science network in Africa comprises eighteen colleagues in four locations. The network develops bilateral and regional ST&I relationships supporting UK diplomacy and development objectives. The network is composed of the Science and Innovation Network (SIN) and FCDO Research and Innovation Hubs (Hubs). This role is based in the East Africa Research and Innovation Hub (EARIH) in the British High Commission Nairobi, Kenya office. You will work collaboratively with three regional Africa hubs based in Kenya, Nigeria and South Africa to meet the evidence needs of FCDO’s country offices across Africa.

The FCDO is committed to applying robust evidence in its decision making. RED commissions groundbreaking research in partnership with global thought leaders, country experts, and technical specialists to respond to pressing global issues. In Africa, we collaborate with policy teams across the UK government as well as with our British High Commission posts in Africa to deliver high impact, demand-responsive evidence that respond directly to the needs of countries in our region. You will contribute to our growing research and evidence portfolio through stakeholder engagement, research commissioning and project management, and will work on important global topics, from climate change to global health.

In this role you will also be responsible for:

•  Commissioning, overseeing and delivering rigorous research, and synthesising evidence. The research we commission responds directly to requests from FCDO colleagues based in our partner countries across Africa. This ensures that the research we commission and the evidence we synthesise informs vital, real-world decision-making.
• Building capacity across FCDO to find, appraise and use evidence.

Roles and responsibilities:

Lead the commissioning and management of research focused on foreign policy, diplomacy and international influencing to inform internal decision-making across Africa (~50%)

• Where evidence needs are identified and commissioning new research is the best way of facilitating access among FCDO decision-makers, developing terms of reference for the research, identifying potential suppliers and leading procurement; and
• Managing research projects delivered by external research teams, ensuring outputs meet the needs of users and are delivered on time and on budget. Monitoring and evaluating the progress and quality of research projects.
• Illustrative example for responsibilities 1 & 2: co-designing, with users, a project to comprehensively map the evidence base where an evidence need has been co-identified, commissioning the research to leading experts, quality-assuring outputs, producing targeted evidence briefs to facilitate use, and support dissemination of outputs to UK government decision makers where appropriate.

Support the use of research evidence among FCDO decision-makers working on foreign policy, diplomacy and international influencing in Africa, working collaboratively with others brokering evidence in these areas (~30%). This will include:

• Working with decision-makers to build shared understanding of their evidence needs, right-fit evidence and sources of support;
• Supporting decision-makers to access evidence to meet their needs by finding, conducting and commissioning new research;
• Helping decision-makers to apply evidence when developing new policy or action by, for example, developing summaries, creating decision-support tools and building skills; and
• Documenting lessons from your support, updating team guidance and sharing experience with others in the Global Science Department.
• Develop, evaluate, recommend, and implement procedures for performance improvement and quality control

Support the design and delivery of initiatives to increase evidence-based practices among evidence commissioners and brokers in FCDO, particularly those in Global Science (~10%). This will include:

• Support with mapping of key HMG and local government strategic objectives across Africa and identifying opportunities for alignment and increased evidence use for development and diplomacy. This is an exciting opportunity, which will enable the successful applicant to build and manage supply partner relationships, whilst enhancing their wider Commercial experience.
• This is a key role with significant responsibility for maximising FCDO’s relationship & operational effectiveness of high impact suppliers.  The core purpose of the SSRM role is to increase the value of suppler relationships with the FCDO.
• This role requires an experienced all round commercial professional with a good functional background, excellent relationship management skills, commercial  experience, project management skills and the ability to drive change and deliver business benefits.

Main purpose of job:

The successful candidate will act as Sub-Saharan Africa Counter Terrorism and Extremism Network (CTEN) Support Officer. They will be responsible for the smooth functioning of the network across all of Sub Saharan Africa (16+ countries), including handling central commissions and briefing requests, convening a major annual regional CTEN conference, managing the administrative budget for the network, and acting as executive assistant to the Head of the Network (including diary planning and assistance with travel arrangements). They will also provide wider programme support to teams across the regional network as needed, surging in where teams have gaps or are facing additional demands.

The jobholder will also work to strengthen the profile of the CTEN network by leading on communications, information collation and sharing of best practice, and by organising L&D events (bi-monthly presentations and Q&A on CT topics). Moreover, they will assist the CTEN Regional Officer by supporting the implementation of country CT plans.

This is a critical role for the CTEN network, as it is the ‘engine’ behind the smooth running of the network. It would suit someone who works well independently, can build productive networks across multiple countries and government departments, can put in place and manage strong systems and monitoring mechanisms, and can provide a high level of executive support to the SMS1 head of the network. It provides an opportunity to support a high profile foreign policy priority by helping tackle terrorism in line with international human rights standards. The successful applicant will have an interest in security issues and be able to work in a fast-paced environment and deal responsibly with sensitive information. 

Roles and responsibilities 

• Put in place and run a system to manage central commissions from London, coordinating inputs, tracking replies and submitting responses within deadlines. To include putting in place and implementing a system to manage regular financial and narrative reporting from Posts in line with CSSF/CTPF requirements (15%);
• Act as Secretariat for CTEN Sub Saharan Africa management meetings, setting up schedules and meeting arrangements, preparing and circulating agendas and background papers in advance, providing meeting records and following up on actions (10%);
• Set up and manage the annual regional CTEN Conference (50+ participants from across Sub Saharan Africa and London, and external participants) including handling logistics, venue, agenda, presentations, and follow up (15%);
• Promote the CTEN by enhancing its communications strategy, including coming up with ideas on how best to do it (e.g. via periodic newsletters) (5%);
• Support the Regional Officer’s work on implementing a regional Daesh CT strategy, including facilitating information sharing between Posts on IS matters, organise regional IS workshops, sharing of CT best practice, etc. (20%);
• Build and maintain productive relations across the CTEN network, maintaining a network ‘map’ of key contacts, and providing support as needed, including arrangements for CTEN visits to partner countries, and programme management support where needed – e.g. during CT programme officer breather breaks/gaps, or periods of additional demand such as CT crises. (This may require occasional travel to other Posts. The officer will undergo CTPF programme management training and CT crisis training for this role (10%);
• Acting as Executive Assistant to the SMS1 Head of the CTEN – who travels frequently and extensively – including effective diary management, and facilitating travel requirements. This includes identifying and acting on urgent commissions that arise on behalf of the Hub Head during their absences, flagging issues to the Hub Head that need their immediate attention while travelling, and delegating workstreams to others in the network as appropriate. This is a significant responsibility given the periods of Hub Head absence, and will require a sufficient level of experience, sound judgment, and security awareness (15%);
• Oversee and manage the CTEN Sub Saharan Africa Travel and Administration budgets (approx. £100,000), including forecasting requirements, approving and monitoring spend (5%);
• Manage recruitment into the network, monitoring start/end dates for CTEN roles across the Network, ensuring that job descriptions are submitted in good time for recruitment boards, and setting up recruitment panels (5%).
