POSITION SUMMARY:

• The Regional Security and Access Director (RSAD) reports to the Regional Director (RD), with technical supervision from the Vice President Safety and Security (VPSS) based in Washington DC. The RSAD will take on a rigorous leadership role to support and guide the country offices to strengthen, fine-tune and/or build security resources and systems in each country office within Africa/Asia region, in addition to focusing on improving the overall culture of security management in Africa/Asia region. The RSAD will be responsible for coordinating, overseeing and advising on safety and security management, and access strategy of all activities and operational functions in the countries that comprise the Africa/Asia region at RI. In addition, the RSAD will be responsible for ensuring up to date and adequate risk assessments and SOPs, submitting timely and accurate reports and assessments to the RD and GSO, ensuring capacity building and training on security for staff in the region, and representing the organization in security coordination fora.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Safety and Security Management

• Coordinates design, establishment and maintenance of security support systems; ensures that RI is linked via all interagency and security coordination lists to ensure RI security presence in the INGO community. Including INSO, OSAC and NGO security forum’ as well as implementation of UNDSS/NGO SLT at RI field level operations.In full coordination with Country and Regional Senior management conducts scheduled and ad-hoc field residencies at each program site, including central and sub-offices and program delivery locations for security assessments, audits and ongoing staff training and security awareness developing clear deliverables as an outcome for each site and supporting Country Offices in the review and strengthening of all security SOPs.
• Trains, technically supervises and mentors country security staff. Recommends and/or provides staff training on safety and security in a proactive and positive manner that promotes inclusion, participation, and leadership among the entire RI team, including international, national staff. Is knowledgeable and sensitive to training needs and issues that must be understood to promote a positive organizational profile, cultural respect, and abide by the RI Code of Conduct.
• Takes a lead on regular safety and security drills for all Africa/Asia countries: conducts safety and security drills, trains national counterparts in how to conduct drills, and ensures that national counterparts implement drills regularly including but not limited to HRE plans and Warden Systems.
• Leads an ongoing process of design, establishment, review and revision of security policies and procedures to ensure understanding, buy-in, and compliance by staff; routinely revises safety and security plans to adapt to evolving security situations in conjunction with country counterparts and country directors, and GSO Global Security.
• Amends and/or revises reporting systems, above policies and requirements to streamline and eliminate inefficient and wasteful/redundant reporting.
• Liaises with regional UN & interagency security personnel on security matters for country programs; advises Country Director(s), RD and GSO Global Security on security issues.
• In close coordination with Country Directors, develops and maintains contacts with national law enforcement agencies, where appropriate; respects and is fully current at all times on political issues and local policies that impact INGO operations and safety.
• Conducts him or herself and the RI regional security operations in a manner that ensures reduced risk for exposure to issues with any group or government; presents the RI programs in a respectful and positive manner in all interagency interactions.
• Maps security incidents, ensures monthly security reports in all countries and understands patterns and threats; facilitates the development of situation-specific, coordinated evacuation plans; writes well-researched security incident reports for review by supervisor and GSO.
• Provides technical and practical assistance to country SMTs for timely submission of SRAs and other documentation to maintain an organizational generic level of security risk management.
• In coordination with CDs and the RD routinely draw up and have scenario plans in place as conflicts or programming implementation evolves in the region.
• In collaboration with country teams ensure that RI’ acceptance first policy in security is operationalized at a granular level at field operational sites to enable secure and safe management of operations. The RI security acceptance policy is a cornerstone to RI’ safe and secure program implementation, it is imperative that the Regional Security Director at all times ensures that each RI Africa/Asia country fully implements the policy, in both a strategic and practical manor.

Training, Learning and Knowledge Sharing

• Support the rollout of RI Security strategy, associated policies, framework, tools and processes through training and participatory workshops
• Assist country program offices in arranging and delivering ad hoc security training workshops relevant to their context.
• Partner with the Regional program team to ensure that trainings and workshops are gender inclusive and sensitive.
• Support country and field offices with tools and templates for field security orientations and ensure that RI security information is up-to-date and utilized.
• Work with RI Global Security director and other regions to ensure consistency in the development and use of materials and trainings.
• Keep up-to-date with developments in humanitarian access and negotiation along with security issues in humanitarian aid and incorporate key components into the training curriculum.
• Support the implementation of training and capacity-building materials for remote management use and/or delivery.
• Identify all transferable and/or relevant content to implementing partners and build into tailored and specific training modules and support implementation.
• Capacitate Safety and Security Leads/ Humanitarian Access, Safety and Security Focal Persons (SSFPs) in the selected Country Offices on the delivery of training sessions
• Measure the effectiveness and impact of the trainings and capacity-building delivered

Humanitarian Access

• Keep up-to-date with developments in humanitarian access and negotiation along with security issues in humanitarian aid and incorporate key components into the training curriculum.
• Working with RSO and GSO, regional and country leadership teams, supporting the establishment of principled and secure humanitarian access to enable durable programming.
• Assist in the continued development of humanitarian access teams and activities.
• Contribute in reviewing and implementing guidelines for principled humanitarian access and engagement with non-state actors, using standard RI policies and guidance.
• Oversee and advise on the implementation and review of tailored acceptance and community engagement strategies.

Regional Geopolitical Trend Analysis

• Monitor, collate and verify contextual developments from a diverse range of information, such as NGOs, the UN, civil society organizations, research institutes and media sources.
• Develop Regional trends/reviews summary, based on a collection of Country Security Reports and developing contexts. Especially focus attention to countries with cross border programming potential (i.e. Afgh-Iran-Pak; MMR-BD, etc) Present and share these to respective CDs and the RD, to feed into opportunities to inform regional networks (i.e. ADSP) on developing trends for improved programming.

Regional Coordination and Country Supervision

• Serve as technical supervisor for Security Managers (or Security Focal Point) in each country office.
• Participate in country-level recruitment for Security staff as technical support.
• Participate in regional meetings as part of the regional SMT, ensuring that security considerations are threaded throughout all decision-making as part of an interdepartmental approach to regional management.
• Champion new organization initiatives related to security and risk management.
• Coordinate closely with regional team and CDs to ensure and internally advocate that security considerations are incorporated in planning for new projects and operational set-up at country level, which will include participation in program development and program modification processes.
• Monitor and audit country level progress towards improvements at country-level for each country office.
• Participation in Security and other RI working groups.

Risk Management

• Work closely with country teams on anticipating and mitigating programmatic and organizational risks.
• Assume a leadership role in the roll-out and follow-up of compliance and due diligence policies and procedures to country offices in coordination with other regional team members, especially as it applies to security
• Support the Regional Director to present calculated risks based on evidence-based assumptions to help identify actions and decisions that need to be taken. Develop action plans to move decisions forward, convening stakeholders and leading follow-up as needed.

Safeguarding

• Uphold and promote RI’s commitment to ensuring the safeguarding and safety of the vulnerable communities we serve.
• Consistent with RI’s safeguarding and protection policies, ensure all people who come into contact with Relief International are as safe as possible.

Position requires:

• Demonstrated progressive international security, access & risk management experience working in conflict-affected countries and complex relief settings in the fields of both security & communications.
• Demonstrated experience with implementing security strategies, policies, procedures, and standards.
• At least 3-year experience providing security and safety support in humanitarian relief/crisis response contexts for international NGOs (required).
• International experience in at least one of the countries where RI operates in Asia/Africa is a plus.
• Master’s degree in political, conflict, security or humanitarian studies; Equivalent university degree in Criminal Justice, Homeland Security, Security Administration preferred;
• ASIS Certified Protection Professional APP at a minimum or CPP designation desirable..
• Strategic commitment to innovatively incorporate and systematize analytical thinking into humanitarian projects, operations and programs.
• Demonstrated training and mentoring skills a must.
• Demonstrated and strong interpersonal and communication skills.
• Capacity to carry out multitasks and deliver good quality outputs.

POSITION SUMMARY:

The Regional Program Development Manager (RPDM) reports to the Regional Program Director (RPD), with technical supervision of the Head of Program Development based in Washington DC. The RPDM will take on a rigorous leadership role as a thought leader working with RSO and GSO to set strategy for the region as well as to support and guide the country offices in various key aspects of developing and accessing funding for new programs, in addition to focusing on improving the consistency and quality of proposal development processes at country level. The RPDM will be responsible for working closely with the RPD and country offices on capture management, networking planning, leading on program design workshops for strategic proposals, coordinating proposal development among various departments, ensuring full packages ready for review at regional and global level, and managing contributing directly on proposal writing as necessary. The job holder will need to undertake short-term travel to support country programs in the development of large strategic bids and/or providing surge capacity if needed. This role will be critical to overall leadership and management of managing and reporting the ongoing and forecasted opportunities related to program development in the region and facilitate resource availability in coordination with GSO.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Strategic Support

• Coordinate closely with the Global Program Development team, including participation in requested meetings and initiatives
• Coordinate closely with the RPDM for RI’s other region, Middle East, to support culture of harmonized approaches between regional teams
• Act as primary point of contact within the regional team supporting country teams with all aspects of the PD process
• In coordination with RPD and country teams, develop networking strategy and follow up accordingly on its implementation at CO-level and regional level
• Support the capacity development of regional and country teams in program development
• Support effective go/no-go decisions, including ensuring opportunities align with the country strategy and RI global strategy
• Undertake travel as required (short-term trips 10 days or less) in the pursuit of the above tasks
• Participate in strategy development sessions for region and country offices
• Participate in donor meetings at donor HQ and country levels as requested; participation in other meetings such as cluster meetings as requested

Proposal Development

• Contribute to program design, for solicited and unsolicited programs, and for pilot and full-scale programs
• Manage/coordinate the preparation of funding proposals, including leading proposal writing and costing efforts across a broad range of donors and award amounts
• Ensure full/clean packages for review of global PD team and regional team before submission
• Work with the RPD and country teams to develop work plan for priority proposals
• Work with RPD, Regional MEAL Manager and country teams on needs assessment requirements for project proposals as necessary
• Track country and regional proposal efforts and report to RPD and Head of Program Development on status
• Ensure PD process is followed within submission deadlines
• In collaboration with country, regional and global team ensure Africa and Asia proposal development pipeline is accurate and up-to-date

Risk Management

• Work closely with regional and country teams on anticipating and mitigating programmatic and organizational risks related to program development and design of new projects
• Ensure partnerships with other organizations within proposals follow RI’s procedures, including teaming agreements and due diligence requirements are met prior to submission
• Support understanding of risks associated with taking on new donors
• Ensure cost-share/ contribution identification for proposals is clear and reasonable
• Work with country teams and Regional Finance Manager to ensure proposals align with the RI Common Cost Allocation Policy

Safeguarding

• Uphold and promote RI’s commitment to ensuring the safeguarding and safety of the vulnerable communities we serve

Position requires:

• Excellent written, verbal and interpersonal communication skills;
• Ability and willingness to travel to field offices;
• MA in international relations, business administration or other relevant field;
• 5 years minimum experience in INGO context, experience in Africa and/or Asia desired
• Ability to deal with multiple deadlines and competing priorities in a fast-paced environment
• Demonstrated experience with at least half of RI’s key donors: USAID – BHA, USDOS – PRM, ECHO and various UN agencies. Experience with EC and other development donors is desired
• Proven success in grant writing, networking and liaising with country and global support staff

POSITION SUMMARY:

The Regional Security and Access Manager (RSAM) reports to the Regional Director (RD), with technical supervision from the Vice President Safety and Security (VPSS) based in Washington DC. The RSAM will take on a rigorous leadership role to support and guide the country offices to strengthen, fine-tune and/or build security resources and systems in each country office within Africa/Asia region, in addition to focusing on improving the overall culture of security management in Africa/Asia region. The RSAM will be responsible for coordinating, overseeing and advising on safety and security management, and access strategy of all activities and operational functions in the countries that comprise the Africa/Asia region at RI. In addition, the RSAM will be responsible for ensuring up to date and adequate risk assessments and SOPs, submitting timely and accurate reports and assessments to the RD and GSO, ensuring capacity building and training on security for staff in the region, and representing the organization in security coordination fora.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Safety and Security Management

· Coordinates design, establishment and maintenance of security support systems; ensures that RI is linked via all interagency and security coordination lists to ensure RI security presence in the INGO community. Including INSO, OSAC and NGO security forum’ as well as implementation of UNDSS/NGO SLT at RI field level operations.

· In full coordination with Country and Regional Senior management conducts scheduled and ad-hoc field residencies at each program site, including central and sub-offices and program delivery locations for security assessments, audits and ongoing staff training and security awareness developing clear deliverables as an outcome for each site and supporting Country Offices in the review and strengthening of all security SOPs.

· Trains, technically supervises and mentors country security staff. Recommends and/or provides staff training on safety and security in a proactive and positive manner that promotes inclusion, participation, and leadership among the entire RI team, including international, national staff. Is knowledgeable and sensitive to training needs and issues that must be understood to promote a positive organizational profile, cultural respect, and abide by the RI Code of Conduct.

· Takes a lead on regular safety and security drills for all Africa/Asia countries: conducts safety and security drills, trains national counterparts in how to conduct drills, and ensures that national counterparts implement drills regularly including but not limited to HRE plans and Warden Systems.

· Leads an ongoing process of design, establishment, review and revision of security policies and procedures to ensure understanding, buy-in, and compliance by staff; routinely revises safety and security plans to adapt to evolving security situations in conjunction with country counterparts and country directors, and GSO Global Security.

· Amends and/or revises reporting systems, above policies and requirements to streamline and eliminate inefficient and wasteful/redundant reporting.

· Liaises with regional UN & interagency security personnel on security matters for country programs; advises Country Director(s), RD and GSO Global Security on security issues.

· In close coordination with Country Directors, develops and maintains contacts with national law enforcement agencies, where appropriate; respects and is fully current at all times on political issues and local policies that impact INGO operations and safety.

· Conducts him or herself and the RI regional security operations in a manner that ensures reduced risk for exposure to issues with any group or government; presents the RI programs in a respectful and positive manner in all interagency interactions.

· Maps security incidents, ensures monthly security reports in all countries and understands patterns and threats; facilitates the development of situation-specific, coordinated evacuation plans; writes well-researched security incident reports for review by supervisor and GSO.

· Provides technical and practical assistance to country SMTs for timely submission of SRAs and other documentation to maintain an organizational generic level of security risk management.

· In coordination with CDs and the RD routinely draw up and have scenario plans in place as conflicts or programming implementation evolves in the region.

· In collaboration with country teams ensure that RI’ acceptance first policy in security is operationalized at a granular level at field operational sites to enable secure and safe management of operations. The RI security acceptance policy is a cornerstone to RI’ safe and secure program implementation, it is imperative that the Regional Security Director at all times ensures that each RI Africa/Asia country fully implements the policy, in both a strategic and practical manor.

Training, Learning and Knowledge Sharing

· Support the rollout of RI Security strategy, associated policies, framework, tools and processes through training and participatory workshops

· Assist country program offices in arranging and delivering ad hoc security training workshops relevant to their context.

· Partner with the Regional program team to ensure that trainings and workshops are gender inclusive and sensitive.

· Support country and field offices with tools and templates for field security orientations and ensure that RI security information is up-to-date and utilized.

· Work with RI Global Security director and other regions to ensure consistency in the development and use of materials and trainings.

· Keep up-to-date with developments in humanitarian access and negotiation along with security issues in humanitarian aid and incorporate key components into the training curriculum.

· Support the implementation of training and capacity-building materials for remote management use and/or delivery.

· Identify all transferable and/or relevant content to implementing partners and build into tailored and specific training modules and support implementation.

· Capacitate Safety and Security Leads/ Humanitarian Access, Safety and Security Focal Persons (SSFPs) in the selected Country Offices on the delivery of training sessions

· Measure the effectiveness and impact of the trainings and capacity-building delivered

Humanitarian Access

· Keep up-to-date with developments in humanitarian access and negotiation along with security issues in humanitarian aid and incorporate key components into the training curriculum.

· Working with RSO and GSO, regional and country leadership teams, supporting the establishment of principled and secure humanitarian access to enable durable programming.

· Assist in the continued development of humanitarian access teams and activities.

· Contribute in reviewing and implementing guidelines for principled humanitarian access and engagement with non-state actors, using standard RI policies and guidance.

· Oversee and advise on the implementation and review of tailored acceptance and community engagement strategies.

Regional Geopolitical Trend Analysis

· Monitor, collate and verify contextual developments from a diverse range of information, such as NGOs, the UN, civil society organizations, research institutes and media sources.

· Develop Regional trends/reviews summary, based on a collection of Country Security Reports and developing contexts. Especially focus attention to countries with cross border programming potential (i.e. Afgh-Iran-Pak; MMR-BD, etc) Present and share these to respective CDs and the RD, to feed into opportunities to inform regional networks (i.e. ADSP) on developing trends for improved programming.

Regional Coordination and Country Supervision

· Serve as technical supervisor for Security Managers (or Security Focal Point) in each country office.

· Participate in country-level recruitment for Security staff as technical support.

· Participate in regional meetings as part of the regional SMT, ensuring that security considerations are threaded throughout all decision-making as part of an interdepartmental approach to regional management.

· Champion new organization initiatives related to security and risk management.

· Coordinate closely with regional team and CDs to ensure and internally advocate that security considerations are incorporated in planning for new projects and operational set-up at country level, which will include participation in program development and program modification processes.

· Monitor and audit country level progress towards improvements at country-level for each country office.

· Participation in Security and other RI working groups.

Risk Management

· Work closely with country teams on anticipating and mitigating programmatic and organizational risks.

· Assume a leadership role in the roll-out and follow-up of compliance and due diligence policies and procedures to country offices in coordination with other regional team members, especially as it applies to security

• Demonstrated progressive international security, access & risk management experience working in conflict-affected countries and complex relief settings in the fields of both security & communications.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Strategic Support

• Coordinate closely with the Global Program Development team, including participation in requested meetings and initiatives
• Coordinate closely with the RPDM for RI’s other region, Middle East, to support culture of harmonized approaches between regional teams
• Act as primary point of contact within the regional team supporting country teams with all aspects of the PD process
• In coordination with RPD and country teams, develop networking strategy and follow up accordingly on its implementation at CO-level and regional level

• Undertake travel as required (short-term trips 10 days or less) in the pursuit of the above tasks

Proposal Development

• Contribute to program design, for solicited and unsolicited programs, and for pilot and full-scale programs
• Manage/coordinate the preparation of funding proposals, including leading proposal writing and costing efforts across a broad range of donors and award amounts
• Ensure full/clean packages for review of global PD team and regional team before submission
• Work with the RPD and country teams to develop work plan for priority proposals
• Work with RPD, Regional MEAL Manager and country teams on needs assessment requirements for project proposals as necessary
• Track country and regional proposal efforts and report to RPD and Head of Program Development on status
• Ensure PD process is followed within submission deadlines
• In collaboration with country, regional and global team ensure Africa and Asia proposal development pipeline is accurate and up-to-date

Risk Management

• Work closely with regional and country teams on anticipating and mitigating programmatic and organizational risks related to program development and design of new projects
• Ensure partnerships with other organizations within proposals follow RI’s procedures, including teaming agreements and due diligence requirements are met prior to submission
• Support understanding of risks associated with taking on new donors
• Ensure cost-share/ contribution identification for proposals is clear and reasonable
• Work with country teams and Regional Finance Manager to ensure proposals align with the RI Common Cost Allocation Policy

Safeguarding

• Uphold and promote RI’s commitment to ensuring the safeguarding and safety of the vulnerable communities we serve

Position Summary.

The Regional Program Director will work closely with the Regional Director to contribute to and implement RI's Global strategy, by providing vision and strategic direction to all of RI's work in the region. This includes RI's humanitarian responses in addition to looking at future long-term development, program design and implementation that will ensure RI's longer-term presence in the region and working with both host communities and governments.

The Regional Program Director role will focus on increased facilitation and coordination between Global and RI country programs to create a stronger regional portfolio that is globally coordinated and is able to evolve from day-to-day management to growth and improvement in quality.

The Regional Program Director is expected to take a leadership role in supporting a multi-departmental approach to strategy design, program management, program development, and risk management in close coordination with Finance, Awards Management, Security, Supply Chain and Operations, and HR departments.

Essential Responsibilities and Duties.

Strategic Leadership

• Work directly with Technical Assistance Department and other initiatives that are focused on improving quality implementation in countries and ensuring that regional priorities and needs are understood and incorporated in the design.
• Articulate a compelling vision for the region and support country programs in setting country strategies.
• Support the management of country level strategic and annual planning, development, implementation, monitoring and evaluation.
• Connect teams to ideas, partners and resources to drive creative solutions for greater impact.
• Prepare the region to be strategically positioned for new opportunities and prioritize needs to enable region to go for them.
• Work closely with the Regional Director to ensure that the voice of the Region is effectively heard and influence the direction of RI through the participation and contribution of the Region and organization wide activities.

• Oversee the Regional Program Manager and Regional Monitoring, Evaluation and Learning (MEL) Manager in the provision of in-person and remote guidance and support on implementation of sound project cycle management and technical quality standards for all Country Programs.
• Ensure country offices have appropriate backstopping to meet RI’s required tools and processes and ensure the coordination of RI’s program quality and portfolio reporting mechanisms throughout the region.
• Work closely with Regional Awards Manager who is responsible for ensuring compliance of the regional portfolio in accordance with RI and donor policies, including, but not limited to support for timely identification and preparation of no-cost extensions, budget realignments, and program grant modifications.
• Lead on donor communications and serve as key focal point to donors at HQ-level (i.e. DC-based for USG, Brussels based for EU, etc), where counterparts for donor country level representation exists.
• The Regional Program Director is expected to take a lead in the Regional Team in all efforts towards accountability; focusing on how we can improve our current program implementation to specifically respond to our beneficiaries and to international standards. In addition, how and what steps we can begin to take to actively engaging beneficiary communities as equal partners in the design, monitoring and evaluation of our programs.

Other Management Responsibilities

• Assume the role of Regional Director when Regional Director is on leave.
• Supervise and mentor program staff in the regional team, and Program Directors (or equivalent) in country offices.
• Participate in meetings convened by Global Support Office and champion new organization initiatives.

Experience and Skills required for the role

• Master’s degree in international studies or equivalent in international development, political or social science management or other relevant field.
• Proven field experience in team management; finance and administration; donor relations; and inter/intra-agency communications in progressively senior roles.
• Significant program operations experience including direct "hands-on" skills in program development strategic planning, program implementation and evaluation.
• Extensive experience in managing both development and emergency programs.
• Demonstrated understanding of the critical development issues in the assigned region and significant experience with the challenges of operating programs in the region.
• Demonstrated proficiency and experience with US, EC, UN and other public and private donors, Government grant and financial management requirements.
• Exceptional program and project conceptualization and design skills.
• Successful and proven negotiation, communication, organization, and prioritization skills and experience.

About the opportunity

You will support the Awards Management Unit in ensuring the review, implementation, supervision and compliance with the RI’s partnership management tools and processes, RI policies and donor rules and regulations. You will oversee the mapping of current partners and ensure that processes are consistently and diligently followed, from pre-award phase to close-out, including RI’s Due Diligence and Enhance Due Diligence requirements.

Key Responsibilities

• Revise the partnership toolkit, design a partnership Manual, and provide relevant training and guidance to RI staff
• Map key donor partnership requirements and support Country Office and departments in complying with such requirements

• Review the Due Diligence processes used by various countries to determine consistent application of processes

About you

You will bring the following experience and skills.

• Substantial experience in partnership management with an INGO
• In depth knowledge of donors compliance for partnership sub granting and management, with experience dealing with US, EU, UN, ECHO etc. donors
• Experience working with local partners in humanitarian responses

About the Africa-Asia Region:

RI currently operates in eight countries in the Africa/Asia region: Afghanistan, Bangladesh, Iran, Myanmar, Pakistan, Philippines, South Sudan, and Sudan, with a focus on the four RI sector pillars: Health (incl. Nutrition), WASH, Education and Economic Opportunity. RI currently employs more than 3,000 staff (direct and indirect) in the Africa/Asia region and implements a range of emergency response and development programs valued at approximately $50 million USD on an annual basis.

Position Summary:

As part of the Regional Team within the Regional Support Office (RSO) for RI’s Africa/Asia Region, the Regional Administrative Officer (RAO) will work under the supervision of the Regional Supply Chain and Operations Coordinator to provide in-person and remote administrative support to Africa/Asia region team including direct admin support to the Regional Director and the wider Regional SMT, and surge capacity support at country office locations as may be needed. In addition, the RAO will take the lead in implementing all SCO tasks in support of the physical regional office in Nairobi, Kenya. This position will enhance the administrative capacity across Africa/Asia region. Work requires a high level of discretion and often requires the use and handling of confidential or otherwise sensitive information professionally. The position works with staff at all levels of the organization as well as key external stakeholders including Government bureaucrats.

ESSENTIAL RESPONSIBIITIES and DUTIES:

Support to the RD (25%):

• Providing necessary administrative support to the RD including maintaining effective filing, scanning, photocopying, archiving and record keeping systems, both paper and electronic of reports and other materials.
• Support the RD in travel arrangements.
• Coordinate all internal and external regional meetings as may be assigned/required by the Regional Director;
• Coordinate RD's relationships with key collaborators and donors. Prepare for and brief the RD prior to events regarding important developments and follow up on resulting action items as required by the Regional Director.
• Efficiently arrange for meetings/workshops, collate documentation and information to support these meetings, and where required preparing minutes and other relevant reports/documentation in a timely manner.
• In consultation with Regional Director, plan and manage Board and Regional team meetings, lead on meeting minutes taking, travel plans and set appointments for upper regional management team;

Support to the Regional SMT (25%):

• Facilitate travel planning for regional Senior Management Team by processing Travel Requests with Diversity and arranging airport pick up/drop off, necessary accommodations, etc;
• Providing necessary administrative support to the Regional SMT including maintaining effective filing, scanning, photocopying, archiving and record keeping systems, both paper and electronic of reports and other materials.
• Plan and manage Regional SMT meetings, lead on meeting minutes taking and follow up actions accordingly.

General Administrative Support to the Regional Team (50%):

• Ensure that office utility payments and lease payments are made on time, and liaise with the Finance function to ensure proper record keeping of lease agreements, lease payment records, utility payment records, and service contract as required;
• Coordinate with Regional IT to arrange basic technical support and advice on IT and communications as required;
• Provide administrative and logistical support to Regional team organizing conferences and training events;
• Track and replace regional office supplies as necessary to avoid interruptions in standard front office procedures;
• Facilitate any meeting outside the office by arranging bookings for venues and travels for participating staff.
• Manage office cleaning and housekeeping requirements to ensure a clean, safe and healthy work environment. Ensure the kitchen, tea, coffee, water facilities are stocked and managed appropriately;
• Facilitate internal and external posts and collecting mail including all customs and airport clearances;
• Follow up of on office utilities and services(Electricity, Water, Security, Internet, Etc.) ensuring payments on a monthly basis;
• Prepare shipments for domestic and international distribution and maintain relationships with courier suppliers and assist in customs clearance of shipments;
• Support the Regional Team to build positive working relationships with the lawyer, government labor office, and other agencies to effectively and efficiently facilitate operational support functions;
• Undertake any other responsibilities as may be assigned by the line Manager.
