There is a need for a dedicated People & Culture (P&C) Manager to contribute to the P&C Strategy, focusing on Business partnering; policy and procedures implementation, employment act compliance, country-specific recruitment, performance management, and P&C operations.  

The P&C Manager will implement practices and activities of the P&C Department in Kenya providing a full spectrum of P&C services and programs linked to short and long-term organizational needs and objectives. 

S/he will work closely with the Regional P&C team to support the achievement of the P&C strategic objectives through the development, implementation, and management of activities. The P&C Manager will serve as a consultant and provide day-to-day guidance to the staff. Reporting to the Director of People & Culture, the P&C Manager can expect this range of responsibilities, among others.

Responsibilities

Strategic Business Partnering (30% time)

• Works closely with employees to improve work relationships, build morale, and increase productivity and retention
• In collaboration with the regional P&C team, support as an Business Partner and/or mentor/train/coach people managers as assigned
• Provide technical expertise on human resources processes (including but not limited to Recruitment, Staff onboarding, talent management and development), organizational policies and practices in order to facilitate the attraction and retention of competent staff that embrace a culture of continuous learning and performance within  Inkomoko
• Define change management processes to improve business performance

Recruitment (25% time)

• In collaboration with the talent acquisition team, develop the recruitment policies and procedures
• Employer branding: Attraction and recruitment of talent and management of all the Kenya specific recruitment processes to meet company objectives
• Recruitment: Work closely with the recruiter to post open positions, generate applicants, and screen applicants.
• Internal stakeholder management: Conduct recruitment kick off meetings for each opening with the hiring managers to establish the needs, agree on recruitment expectations, process, and participation of various team members in the hiring process.
• Interviewing: Set up interviews with candidates and company reviewers, create job matrix, share materials before interviews, compile reviewer feedback, prepare and administer written exams for applicants.
• Hiring: Conduct background checks, provide relevant information for finalization of contracts
• Communications: Highly professional correspondence to successful and unsuccessful candidates
• On-boarding: Coordinate onboarding meetings of all new staff, communicate to various team members to ensure successful onboarding documents and tools are prepared on-time (NSSF/NHIF forms, email, first day’s meetings schedule, etc)
• Update the P&C colleagues with information to feed into the Org. wide recruitment tracker with the status of all open positions.

Performance Management, People development & Talent Management (25% time)

• Provides consultation to managers on talent development and performance management.
• Ensure planning, monitoring, and performance reviews of employees by training managers to coach and give feedback to employees and resolving employee grievances
• Identify training needs, manage and conduct training on topics ranging from P&C policies and procedures to professional and leadership skill development
• Follow up on the  Inkomoko Staff Performance Management processes with appropriate alignment with the Regional team in the implementation and follow up on the Performance Management processes to ensure staff performance management cycle is respected and appraisals carried out in a timely and appropriate manner
• Manage and track the talent processes, including tracking the identification and management of high-performing talent and poor performers.
• Provide appropriate support to employees and managers in addressing unsatisfactory performance-ensure that underperforming employees are identified and specific plans created with the full intention of returning them to acceptable performance
• In collaboration with the Director of People & Culture, guide, and train people managers on their roles in the end-to-end performance management processes
• Support in following up the training & development programs are being conducted as planned
• Coordinate the implementation of the Induction Program

Enhance the P&C service delivery/P&C Operations and Administration (20% time)

• Coordinate all P&C Administration and Operations activities that include but are not limited to staff bio-data management, employee welfare/medical insurance, payroll drafting for submission to the regional team for processing, contract handling, etc)
• Keep updated with changes in the employment act and legislation and proactively propose changes to policy and procedures to improve the efficiency of the P&C department 
• Contribute to the design, review, and implementation of P&C policies, systems, and guidelines to operating within the statutory requirements
• Sensitize all staff on the current P&C policies and guidelines and review the systems/processes to identify and address gaps for effective service delivery
• Responsible for reporting on P&C operations/demographics, developing and managing the P&C reporting tools to measure the value added of P&C operations to the organization
• Maintain and develop good relationships with similar organizations, with ongoing dialogues concerning policies and trends
• Effectively review and process P&C operations requests and transactions, such as personal data, pay data, position data changes, and employment contracts information
• Supervise and ensure that staff physical files and data records in the P&C Management system (Odoo) are up-to-date and secure (e.g leave management etc.)
• Coordinate and organize all P&C events in collaboration with the Administration team
• Ensure employees have the necessary tools and facilities to perform their jobs properly
• Manage the separation process; this includes paperwork and follow-up P&C actions. Schedule Exit Interviews and gather Exit data.
• Work with the regional P&C team to report and arbitrate employee relation issues.

Responsibilities

RECEPTIONIST DUTIES (70%) 

• Ensure the office is open and closed on time 
• Maintain professional front office/receptionist area & answer the office telephone

1. AECF Programs

AECF provides matching grant financing and technical assistance (TA) to innovative renewable energy businesses/business ideas across Sub-Saharan Africa (SSA). The programs use a competition-based challenge fund model to select innovative or early-stage companies. It also includes tools for lower-risk scale enterprises through a results-based payment facility as well as very early-stage investments through an innovation fund. TA is provided for both business enhancement and investment fundraising. The REACT SSA has invested in eight improved cook stoves (ICS) companies in six countries (Kenya, Burkina Faso, Mozambique, Ethiopia, Mali, and Liberia). We are seeking a product design and operations/production specialist to provide advisory support to investees in the clean cookstoves sub-sector.

1. About the Assignment
   1. Objectives of the Assignment

Smoke from open cooking fires and polluting cookstoves is estimated to cause millions of premature deaths and lead to a variety of illnesses. According to the World Health Organization (WHO) Household air pollution is responsible for an estimated 3.2 million deaths per year.

Efficient and clean cookstoves have proven to reduce harmful emissions and reduce the amount of fuel used by households and cost. The overall objective of the assignment is to provide technical advisory support to three investee companies (two in Kenya, and one in Mozambique) to boost productivity and the quality of the stoves they are manufacturing. These companies are transitioning from artisanal to large-scale production. There is a huge potential to achieve efficiency gains and enhance quality and productivity in existing ICS manufacturing processes. The consultant will support investees in generating a stove production blueprint, product design and standard improvement and enhancing efficiency in the cookstove production. The production process will be enhanced to reduce throughput time, improve workmanship, and maintain a consistent level of production quality and possibly move to high Tier. Other elements will be an improvement of factory organization and work safety. The assignment will involve the application of lean and mass manufacturing principles to evaluate alternative designs and materials in relation to minimizing costs while meeting end-user requirements.

1. 1. Specific duties and responsibilities (the “Services”) of the consultant

The consultant will be expected to deliver on the following general scope of the assignment, which will be refined further depending on the needs assessment for each of the three companies.

1. Conduct a needs assessment to identify gaps in the stove design and production process
2. Provide technical support in the improvement of design and material selection

This is an integral part of cost reduction that assesses product purpose, the operating conditions and the process of manufacturing. The objective will be to ensure the longevity of the product and the safety of the user while minimizing raw material and processing costs. This will include an assessment of the use of pre-manufactured components e.g., steel/wooden, cast-iron pot stands/grates to determine effective ways to save costs on material processing for the intricate components without compromising the quality.

1. Provide technical support in design for manufacturing and assembly

The aim of this task is to support the companies simplify the design as much as possible. The design will be providing support in the determination of materials required and processing time per part to be able to reduce number (quantity) of parts, complexity and size to lower material costs.

1. Production process design

With the completion of the design above, the consultant will undertake a cost-benefit analysis of a centralized and decentralized production method that would be most suited for the specific company.

1. Process optimization

Using the Critical Path Model, identify the critical workflow path for optimizing speed and efficiency while doing a process failure analysis. Also, establish an efficient supply chain management system.

1. Verification and Validation

The consultant will validate the design and process recommendation during the technical support process

1. Training

Develop appropriate training material and train the teams in the company’s production unit.

1. Advise and recommend possible suppliers of recommended t raw materials can be sourced.

3. 1. Specific deliverables

For each of the three companies, the deliverables/outputs for this assignment are outlined below:

• The stove design and production process assessment report for each company
• Manufacturing blueprints containing detailed engineering drawings specifying all required design tolerances and material selections and the design failure mode and effects analysis documentation which identifies all potential design failure modes and mitigation measures
• Production process design based on the suitable production method, for centralized or decentralized
• Assembly blueprint consisting of Process Control Plans, Process Flow Charts, and Standard Work Instructions. This should include documentation on process failure mode and effects analysis.
• Materials / new design improved cook stoves quality testing certificate.
• Training kit covering correct use of equipment, workshop/factory safety and organization, social standards of work and environmental management among others identified during the assessment.
• An insights report from this assignment, to inform AECF’s future investments and support to the sector.

1. Requirements

• Relevant manufacturing/engineering degree. (Industrial, process, Mechanical or Production Engineering or related field)
• More than five years of experience in an operations environment. Experience gained in SME manufacturing companies within the stove industry is a significant advantage.
• Professional accreditation with an industry-related body would be advantageous
• Experience with CAD software.
• Ability to design processes and layouts
• Experience in lean manufacturing, Failure Mode Effects Analysis, continuous improvement and problem-solving process improvement and error-proofing techniques
• Understanding of design and production costs to include waste, downtime, scrap and re-work

1. Duration of the assignment

The assignment will take 50 days and is expected to commence in March2023 and end in May 2023.

1. Reporting

The consultant will report to the Enterprise Development Lead. They will work closely with the Senior Technical Advisors in the AECF Advisory Studio.

1. Evaluation Criteria

An evaluation committee will be formed by the AECF and may include employees of the businesses to be supported. All members will be bound by the same standards of confidentiality. The consultant should ensure that they fully respond to all criteria to be comprehensively evaluated.

The AECF may request and receive clarification from any consultant when evaluating a proposal. The evaluation committee may invite some or all the consultants to appear before the committee to clarify their proposals. In such event, the evaluation committee may consider such clarifications in evaluating proposals.

In deciding the final selection of qualified bidder, the technical quality of the proposal will be given a weighting of 80% based on the evaluation criteria.

Responsibilities

Business Development Support & Client Relationship Management (60% of time)

• Recruit idea-stage and existing micro and small businesses for the Inkomoko program
• Intake process of program entrepreneurs and conducting monthly site visits to assess business need and opportunities
• Support in conducting due diligence –basic knowledge in access to finance of micro & small businesses
• Provide informed, strategic, and realistic advice to help clients meet their objectives for business growth.

About the Opportunity

Software Development and Customization (65% time)

• Development or configuration/customization of technology solutions in the areas of internal operational fintech, investment fintech, and client-focused digital solutions

Technology Supports (20% time)

About the Opportunity

This is a new position for Inkomoko, as we are doubling our 7-person IT team in the coming months as we scale into new geographies.  As a member of the IT team, the successful candidate will work closely with the users to ensure that any products that the IT team are easy to use, on-brand, and create a great user experience. 

Responsibilities

Design and Functionality for Users (80% time)

• Identify gaps and challenges in UI/UX and propose improvements for change, working through the development process with end users
• Gather and evaluate user requirements in collaboration with product managers and developers
• Illustrate design ideas using storyboards, process flows, and sitemaps

About the Opportunity

The Fintech Project Manager will be a new position for Inkomoko as we scale our lending and financial inclusion products across East Africa, and seek new internal finance systems digitization.  

Current projects in the IT Roadmap include automating payroll, digital cash management,, accounting software upgrade, mobile loan app development, building AI modules for automated due diligence on lending, migration to a Core Banking Solution, establishing a digital payment gateway, and API integrations with our banking/telecom/investment partners.  

Responsibilities

The IT Project Manager will be technical enough to manage a range of IT projects, but as a project manager won’t do the development themselves.  Specifically, the role will include:

User Requirements and Project Inception

• Detect gaps that can be closed by fintech projects, develop user requirements and collaborate with co-workers, and identify solutions that are fit for the user and purpose
• Leverage newer technologies (machine learning, AI, etc) to be forward-looking in our approaches to solving challenges
• Direct and manage technology project development from inception to end rollout.
• Define project scope, goals, success criteria, and deliverables 
• Draft and complete detailed Business Requirements and Statement of Work (SOW) with the project sponsors
• Develop a full-scale project plan, including budgets, timelines, milestones, and allocating human resources (select and manage vendors and on-staff developers) to implement projects using Agile methodologies
• Work with other team members to prioritize projects in the IT Roadmap
• Develop/modify and implement processes and systems to add value to Inkomoko’s lending strategy as we enter new geographies, and work with the investment team to configure new investment products

Project Management

• Once a project is approved, track project milestones and deliverables, and develop/deliver

Minimum Qualifications

The position requires a broad technical background in project/program management and in building and managing multiple complex projects and customer relationships. 

• 5 years of fintech project management in Africa, with bachelor’s degree preferred 
• Scrumaster experience - has run complicated tech projects, on-time and within budget from start to finish, ability to work independently with minimal supervision. 
• Coding language preferred, but not required.  Must have a working understanding of languages in our stack: Python, XML, Javascript, Postgresql
• Experience with Human-Centered Design and UI/UX 
• Experience managing multiple simultaneous projects (5-10 projects at a time)
• Exceptional oral and written communication in English, plus one East African language

The Data Engineer is a new position for Inkomoko as we double the Monitoring, Evaluation, and Learning team in 2023. The Data Engineer will work alongside the Data Scientist and Data Analyst, all reporting to the head of Business Intelligence, the Business Analytics Manager. 

The successful candidate will be responsible for designing, developing, and maintaining data pipelines and databases. They will also be responsible for cleaning and QA of data, developing ETL processes, and optimizing data storage solutions.

The Data Engineer will work closely with the organization’s stakeholders to ensure that the data collected is accurate, secure, and accessible. They will also be responsible for developing and implementing strategies to improve the organization’s data quality.

Responsibilities

Specific responsibilities include: 

• Analyze data and develop insights from a range of data sets across the company
• Work with the Data Engineering staff to ensure that data is clean, well structured, secure, and accessible
• Create and Manage company dashboards
• Create visualizations, presentations, and reports to communicate findings to internal and external stakeholders
• Run inferential statistical analyses on various data sets to identify trends & relationships
• Develop strategies to improve the organization’s data quality 
• Monitor performance of databases and raise/ deal with any issues that arise
• Provide technical support to stakeholders

Minimum Qualifications

The candidate should be at an advanced level within the M&E domain and bring years of relevant experience to the role.  The ideal candidate will fulfill the following requirements:

• Previous experience in data management in a complex and fast-scaling environment in East Africa
• At least 3 years work experience in data management
• Experience in SQL to model data and optimise queries
• Ability to work with APIs
• Experience with ETLs and basic python scripting
• Bachelors’ degree in Statistics, Math, Engineering, Computer science or other relevant field

• Communications and presentation skills for a wide variety of audiences
