Main Responsibilities:
External stakeholders

• Act as main link between the company and the customers.
• Ensure an effective communication and mutual understanding.
• Focus on understanding our customer’s needs and regularly updating customers where there is a need.
• Communicating any pricing updates with customers on time and ensuring the update is reflected on JDE for all customers.
• Manage customer escalation and claims issues effectively and resolution within a week.

• Ensuring that all issued local and export documentation including Proforma invoices and Invoices is accurate.

Internal stakeholders

• Working with the Sales team to address any issues they may have regarding their orders.
• Implement specific payment terms together with the Finance team on JDE for each customer; align all necessary documentation to the specific payment methods and align the system to reflect these payment terms.
• Partnering with Finance to ensure orders are serviced as per customer credit status. Most importantly to maintain a clear audit record related to department activities.
• Creating and maintaining customer accounts in the system as per Sales’ request and approval from the Finance team.
• Liaise with the Supply and Co-packing planner to support on the orders that can be serviced based on stock availability.
• Support the commercial strategy and ensure the same is cascaded to the Customer Service team.
• Liaise with Logistics and Transportation departments to reduce order cycle times and improve fill rates while controlling the cost of serving customers

Order processing

• Ensuring that orders received from Customers are received on email and are legible
• Ensuring that orders are entered are accurate and as per customer requests and that all lines that require cancelling are cancelled with the correct reason code
• Coordinate with the Warehouse team to ensure orders are loaded and dispatched within timelines requested by customer
• Liaising with Supply and Co-packing planner to confirm what orders can be serviced based on stock availability
• Ensure a close follow up of daily order entering and guarantee strict order entry accuracy, review orders entered to ensure this.
• Overseeing order tracking to ensure orders are processed for delivery on time and as per customer requests.
• Monitor the process from order receipt to delivery, ensuring any credit notes are done on time.

People

• Plan and manage activities of the customer service and team to meet the needs of customers and support areas of operations.
• Motivate the Customer Service team to ensure they execute their roles diligently and as per the BIC values.
• Lead weekly meetings with the Customer Service team to review tasks and ensure completion of tasks on time.
• Address issues the team may have and advise on any areas that we require improvement.
• Manage the Customer Service team’s development areas.

Reporting

• Attend weekly meetings with line manager to review Customer Service-related topics.
• Daily update the business on OIS (off invoice sales) number and explain changes.
• Maintain a weekly shipment outlook to review order status, priorities, and challenges and highlight any issues that may affect the OIS (off invoice sales) number.
• Share weekly reports with the Sales team with an update on open orders and their credit status.

Job Summary

• We believe that the way we reach our customers is as important as the product we choose to sell, and following this mission, the required position will be responsible for the Dispatch process including checking and loading delivery vehicles, tracking all deliveries and ensuring efficient cost-effective delivery to all customers and other warehousing activities in the east Africa warehouse.

Main Responsibilities / Tasks

• Processing order requests and loading of delivery vehicles.
• Develop delivery routes and maintain contact with drivers throughout the delivery process.
• Enforce drivers to work within BIC safety guidelines as measured by traffic regulations
• Ensure set targets for and objectives are met in line with the set warehousing & distribution KPIs.
• Work with third party suppliers to resolve any delivery issues.
• Monitoring, tracking metrics and reporting the performance of Loaders to ensure efficiency and accuracy.

• Maintains inventory controls by leading weekly cycle counts and daily stock checks to ensure quality control.

Main Purpose

• The Area Sales Representative manages the sales and distribution of the company's products and services to customers and consumers within a defined geographic area of the Region.
• Ensuring that consistent, profitable growth in sales revenue is achieved. Management and control of sales resources to achieve maximum sales and profitability. Develops and implements sales strategies and action plans to meet corporate, sales, and marketing objectives. Management Business

 

•  Sales to customers within a defined geographic Area in the East Africa
•  Achievement of monthly sales volume and value targets across all three categories (Stationery, Lighters, Shavers and Shaving preps)
•  Ensure effective implementation of negotiated Key Account promotions and marketing strategies
•  To effectively manage third party Sales and Merchandising Agents, ensuring that sales targets' key Trade Promotions and In Store forward share objectives are achieved.
•  To ensure cost effective sales call coverage is implemented, providing the required level of service to increase sales to customers and area profitability.

JOB SUMMARY

• MAIN PURPOSE: The role holder will ensure the company tax compliance & reporting by preparing timely tax returns and ensuring adequate controls to avoid tax exposures. They will also ensure that adequate preparations are made for annual statutory audit & other tax audits as required.

MAIN RESPONSIBILITIES / TASKS

 

•  Preparation of monthly VAT, WHT and WVAT computations, returns and respective payment within statutory timelines.
•  Reviewing defaulter notices in respect to the inconsistent VAT returns, adequately responding to KRA on the inconsistency notices and ensuring they are resolved within the timelines given.
•  VAT refunds follow ups with the Kenya Revenue Authority including calls and meetings where necessary with the revenue authority.
•  Supporting timely reconciliation of tax related GL accounts and collaborating with the Accounting Manager on identified exceptions on a monthly basis.
•  Ensure vendor and customer tax related queries are addressed in a timely manner.
•  Ensure timely filling of quarterly self-assessments and annual returns.
•  Application of company tax compliance certificate as and when it is required.
•  Liaise with Accounting Manager on objection grounds for KRA assessment orders.
•  To compile and present supporting information required by KRA and external tax auditors during tax audits.
•  Liaise with Accounting Manager to ensure that annual tax computation and deferred tax is computed correctly.
•  Assist the Accounting manager in formulating process improvement initiatives that will enhance proper tax planning in the company.
•  Assist in ad hoc project management as and when required by the Accounting Manager.

MAIN PURPOSE:

• As a key member of the manufacturing team, the Continuous Improvement (Projects) Manager will be responsible for driving MNF process improvement projects/initiatives that are geared towards process improvement, value-add or as mitigation measures in line with business manufacturing strategy.

Main Duties

• Oversees HR services desk.
• Oversees HR operations / HR administration function.

JOB DESCRIPTION 

 

• Timely receipt of customer payments in JDE as per the remittance advises and in compliance with financial policies and procedures

• Processing customer claims in a timely manner, this includes pricing claims, returns, special allowances and rebates

• Weekly reconciliation of Graphic customer receipts and ensuring that there no un allocated receipts at the end of the month.

• Monthly circulation of account statement to all customers

• Ensuring monthly reconciliation of all key customers.

• Ensure all customer invoices are ETR compliant and generating monthly Z reports that reconciles to the monthly sales

• Maintaining credit limits in JDE and ensuring that the same is strictly adhered and in accordance with the company policy

• Monthly preparation of customers DSO reports

• Maintain account receivable files customer files and records.

• Ensuring customer queries are addressed in a timely manner • Ensuring that GL fully reconciles with AR sub ledger

• Assist Accounting Manager in preparation of weekly and monthly customer aging reports.

• Monitor customer account details for non-payments, delayed payments and other irregularities.

• ICO’s are completed accurately and timeously i.e. day 3 for AR. Items older than 3 months are resolved;

• Liaise with external auditors, assist Accounting Manager in preparation of audit requirements, participate in annual audit stock count
